STudio Art Facilitator I
Summary:
The Gateway Arts Operations Manager assures the safe, timely, and effective delivery of group employment services to nearly 100 adult artists with disabilities in a workplace comprising studios along with a gallery, store, and community engagement program. The Operations Manager works with colleagues within Gateway Arts and across the Vinfen organization to coordinate and implement a range of workplace policies and processes. These include permitting, clinical documentation, quality and regulatory compliance, facilities management, training, and information technology (IT). The Operations Manager also serves as case manager for one or more Gateway artists. The position reports directly to the Clinical Program Director.
Job Duties and Responsibilities:
- Works with Clinical Program Director and others to meet high standards of accessibility for program participants, staff, and the public.
- Participates as an active member of the Gateway Arts team, sharing ideas and input on process improvements.
- Work in harmony with staff to assess and create clinical programming to support various diverse populations to work in a collaborative environment, while training and guiding artists to grow and onboarding new artists.
- Coordinates Clinical administrative paperwork and ensures workplace facilities and program delivery meet all relevant health and safety requirements, including executing, tracking and monitoring inspections, audits, certifications, and DDS survey and certification processes and assists with licensure/re-licensure and any related actions.
- Coordinates the use of assistive technology for artists and other tech projects in concert with Gateway and Vinfen staff.
- Supports supervisor and other program directors with assigned projects – including completing research, gathering data, screening to determine what is appropriate/correct and what is not; proposing and implementing presentation format; preparing report(s), including data analysis and narrative.
- Provides support to other program areas, as needed. Provides direction and supervision to others on shared work projects and coordinates the provision of temporary help, when needed.
- Assists with the recruitment, onboarding, and training of program interns.
- Performs other duties as required.
Knowledge and Skills:
- Knowledge of business communication formats (correspondence, memos, minutes, reports, financials, etc.)
- Effective oral and written communication skills
- Knowledge of Microsoft Office (including Word, Excel, Outlook), Vinfen’s internet access applications, and department-specific applications
- Knowledge of recordkeeping systems
- Excellent organizational skills, time management skills, and problem-solving skills
- Ability to communicate in a positive, courteous, and professional manner.
- Ability to exercise judgment & discretion in dealing with individuals and confidential matters.
- Ability to function effectively as part of a multi-disciplinary team.
Typical Requirements:
- 3-5 years related experience in office administration.
- At least one year of supervisory experience Preferred
Preferred/Required Education:
A high school diploma or equivalent is required. Associate’s or Bachelor’s degree in business administration preferred. Experience may be substituted for academic training.
Driving Requirements:
May be called on to drive for Vinfen using either a Vinfen van or personal vehicle. - A valid driver's license must be presented at the time of employment. Incumbents must be at least 21 years of age, have maintained a valid US driver's license for at least one year, and must be able to pass a driver's screening background check. If driving, must maintain a safe driving record, which is subject to annual checks. If using a personal vehicle, must possess and maintain adequate insurance.
Physical Effort:
Direct Care Roles - Ability to stand, walk, bend, kneel, stoop, crouch, crawl, climb as this is a very physically active position. Must be able to lift at least 25 pounds using proper lifting techniques or the use of a two-person lift. Ability to operate a computer and other office equipment such as a calculator, copier, and printer. Ability to sit, reach, climb stairs, and maneuver through narrow spaces or hallways. Ability to assist clients with tasks of daily living. Ability to speak, hear, and communicate with clients, staff, and external representatives. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. For positions in day programs or group residences, the ability to assist in routine living activities including cleaning, meal preparation, vacuuming, shoveling, and grocery shopping.
Required Certifications/Trainings:
CPR within 2 weeks of hire
First Aid within 2 weeks of hire
MAP within 150 days of hire.
Safety Care within 90 days of hire
New Employee Training (NET)
Salary:
$50,000-$55,000, commensurate with experience
